Consulting Expert Forum at UT Dallas: “Designing and Implementing Large-Scale Leadership Meetings”

For our second Expert Forum this fall, we will discuss how consultants conceive, design, and implement large meetings. In our Forum, we’ll discuss how a consultant establishes a design team to create the brand and experience of the meeting, navigates through the high-level to detailed design process, and works with vendors and partners to deliver a high-quality experience. We will also discuss best practices and potential problems that can derail the success of these types of meetings.

Our guest for this Forum is Brooke Wilson, Account Manager for 360 Live Media, a strategy, marketing, and design agency that helps companies modernize their approach to events, membership, and revenue. 360 Live Media offers services in strategic planning (e.g., event transformation, marketing, member engagement, mobile app strategy, etc.) and marketing and public relations (event planning, copywriting, video production, web design, event marketing, media relations, podcasting, etc.).

Brooke has planned small meetings to global affairs, coordinating with international partners across the globe and most continents. She honed her experience design chops by assessing and planning B2B events—challenging herself to devise ways to transform the ordinary into something truly extraordinary—irrespective of sector or industry. Brooke is a Certified Meeting Professional since 2020, is a member of the PCMA 20 in their Twenties Class of 2022, and an ASAE 2022 NextGen Scholar. She’s passionate about the role of young professionals in the association industry and their involvement in shaping the future. She graduated from the State University of New York at Cortland, and in her spare time, you’ll find her skiing and serving on the Board of an adult field hockey club.

Here are some of the topics and questions we’ll discuss in this Expert Forum:

  • What are the first things a meeting architect/planner should consider when told the company wants to host a large-scale meeting?
  • How important is the brand of a meeting, and how does it play into the experience?
  • What does the design funnel look like? How does it start in the broadest sense and then become more tangible as agenda items, timing, and content get developed?
  • How does a consultant work with other partners and vendors to bring a meeting to life?
  • How does a designer think about different kinds of content and how each is delivered, for example, keynote speeches, networking sessions, workshops, etc.?
  • What kinds of things typically trip up the meeting design, planning, and execution process? What should be anticipated and planned for? What best practices help solve what could go wrong?
